KSPC E-Learning Privacy Policy
Effective date: 18 September 2026
KSPC E-Learning provides online and offline learning services through a Moodle-based learning platform and Android mobile application.
We respect the privacy of learners and process personal information only as necessary to provide, secure, administer and improve the learning service.
Information we collect
When you create or use a KSPC E-Learning account, we may collect information including:
- your name;
- email address and username;
- account and authentication information;
- language preference;
- course enrolment information;
- chapter and course progress;
- SCORM learning attempts, scores, completion status, suspend/resume information and related learning records;
- quiz or assessment results where applicable;
- achievements, badges and points;
- certificate eligibility and issued certificate records;
- payment entitlement and transaction-reference information;
- application synchronization and technical diagnostic information required to operate online and offline learning;
- information required to secure and administer your account.
How we use your information
Your information is used to:
- create and administer your learner account;
- provide access to learning programmes;
- authenticate users securely;
- record and synchronize course progress;
- support offline learning and subsequent synchronization;
- determine course completion and certificate eligibility;
- provide learner achievements, badges and points;
- process and reconcile course-access entitlements;
- provide technical and learner support;
- protect the platform from misuse and unauthorized access;
- maintain operational, security and audit records;
- meet applicable legal and regulatory obligations.
Payments
Course access purchased within the Android application may be processed using Google Play Billing. Google processes the payment transaction under its own terms and privacy practices.
KSPC E-Learning receives information required to verify the purchase and grant or revoke course entitlement, such as a purchase reference, product identifier, transaction status and associated learner entitlement.
Payments made through other approved KSPC channels may be processed separately. Payment and audit records may be retained where required for accounting, reconciliation, legal or security purposes.
Offline learning
The Android application can download learning content and temporarily store course progress on the learner's device for offline use.
When connectivity is restored, relevant learning progress is synchronized with the KSPC Moodle platform. Moodle remains the authoritative source for course access, completion and certificate eligibility.
Certificates and learning records
Course completion, scores and other learning records may be used to determine eligibility for certificates.
Certificates are generated only after the learning platform verifies that the applicable completion requirements have been met.
Service providers
KSPC may use service providers necessary to operate the platform, including hosting, Google Play services, email delivery and other technical infrastructure.
Service providers may process information only as necessary to provide their respective services and are subject to their own applicable privacy obligations.
Data security
Reasonable technical and organizational safeguards are used to protect personal information against unauthorized access, disclosure, alteration or loss.
These measures include access controls, authenticated services, secure communications, server-side verification of payment entitlements and controlled administrative access.
Data retention
Personal information is retained for as long as reasonably necessary to operate the learner account, provide learning services, maintain required academic and certificate records, meet contractual obligations and comply with applicable legal, accounting, audit and security requirements.
Different categories of information may have different retention periods.
Account deletion and privacy requests
Learners may request access to, correction of, export of or deletion of their personal information, subject to applicable legal and operational retention requirements.
Moodle provides mechanisms for submitting personal-data requests. Certain records may need to be retained where required for accounting, audit, fraud prevention, legal obligations or legitimate certificate verification.
Children's privacy
KSPC E-Learning is intended primarily for adult and professional learners. The platform is not designed specifically for children.
Changes to this policy
This policy may be updated when the platform, applicable law or data-processing practices change. Material updates may require users to review or accept the revised policy.
